Job Summary:
• Will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety.
• Be responsible for streamlining administrative procedures, facilities control, office staff supervision, and task delegation.
• Be an energetic professional who doesn't mind wearing multiple hats.
• Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.
• Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.
Essential Duties and Responsibilities:
• Overseeing general office operation, including TW and Malaysia site.
• Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity.
• Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
• Purchasing office supplies and equipment and maintaining proper stock levels.
• Responsible for Occupational Safety and Environmental safety related matters.
• Responsible for employee welfare committee matters such as welfare project planning and execution, budget control, regulation editing, etc.
• Organizing the company's annual important events (Family Day/Year End Event etc.)
• Producing reports, composing correspondence, and drafting new contracts.
• Creating presentations and other management-level reports.
• Coordinating appointments and meetings and managing staff calendars and schedules.
• Other supervisor’s assignments.
Qualifications:
• A bachelor’s degree or equivalent.
• 5 years of experience as/above an Office Manager and 15 years of experience in office administration
• Knowledge of Office Administrator responsibilities, systems, and procedures
• Excellent time management skills and ability to multitask and prioritize work
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills.
• Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
• Ability to work independently, as well as in a team environment.
• Strong analytical skills.
• A creative mind with an ability to suggest improvements.
