Job Summary:

Supermicro is seeking a detail-oriented Office Associate Manager to oversee daily operations and administrative functions at our Malaysia manufacturing facility. This role encompasses managing office facilities, vendor relationships, lease agreements, travel arrangements, and establishing operational procedures to ensure efficient office management.

Essential Duties and Responsibilities:

  • Supervise environment cleaning, sanitation, and maintenance of office facilities and equipment, including dormitories, office vehicles, water dispensers, and official vehicles, water dispensers, and printers.
  • Ensure facilities meet safety and operational standards.
  • Manage lease agreements for office spaces, dormitories, and temporary facilities.
  • Negotiate contracts with vendors like caterers, dormitories and oversee simple decoration projects.
  • Coordinate inbound transfers, hotel reservations, and outbound air ticket bookings for business travel within Malaysia.
  • Identify and establish relationships with office service providers in Malaysia, including stationary suppliers, travel agencies, airlines, group catering services, and furniture manufacturers.
  • Develop and implement Standard Operating Procedures (SOPs) for efficient office management.
  • Oversee ID construction management and other administrative tasks to support daily operations.
  • Manage office budgets, expenses, and procurement of supplies.
  • Collaborate with finance department for invoice processing and expense reporting.

Qualifications:

  • Bachelor’s Degree in Business Administration, Management, or related preferred with minimum 7 years of working experience in manufacturing industry.
  • Proven experience in office management or administrative roles within a manufacturing or corporate environment.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication and interpersonal skills for vendor negotiations and relationship management.
  • Familiarity with Malaysian business practices, lease agreements, and procurement processes.
  • Proficiency in office software such as Word and Excel, along with a general understanding of ISO management systems, is essential.
