Job Summary:

We are looking for an Assistant Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. A successful Assistant Office Manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. This is an excellent opportunity for an experienced professional who enjoys a high degree of responsibility and thrives in a dynamic environment.

Essential Duties and Responsibilities:

Assist in general office management and maintenance, including but not limited to:

• Plan and implement cost effective janitorial service program, daily breakfast, and dinner box catering program, travelling programs, and all office management related tasks

• Plan, direct, and coordinate catered events

• Back-up management on coordinating and communicating with International offices

• Other Administrative support assignments as needed


• Bachelor's degree preferred

• 5+ years of proven experience as an assistant office manager, front office manager or administrative assistant preferred

• Knowledge of office administrator responsibilities, systems and procedures

• Acute attention to detail, and Positive and professional demeanor

• Pleasant customer service skills is a must

• Ability to multi-task, stay organized and function effectively in a fast-paced, deadline-oriented environment

• Excellent time management skills and ability to multi-task and prioritize work

• Proficiency in MS Office (MS Excel and MS Outlook, in particular)

• Excellent written and verbal communication skills

• A creative mind with an ability to suggest improvements

Physical Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job:

• Able to sit for long periods of time.

• Able to input data into a computer and work with a computer screen for long periods of time.

• Occasional bending and standing.

• Standing, walking, sitting, talking/listening, crouching or crawling, reaching with hands and arms.

• Lift, carry, push and pull up to 15 pounds.
